Trade Show Event Coordinator
Role Overview:
Join is looking for a highly organized, detail-oriented Trade Show Event Coordinator to support a series of fall industry events and related customer programming. This part-time contractor will help manage the operational details required to execute multiple trade shows and a Customer Advisory Board event across September, October, and November, with an anticipated ramp beginning in late July.
This role is focused primarily on event logistics and project coordination. The coordinator will help ensure deadlines, vendors, booth requirements, shipping needs, internal travel reminders, materials, and on-site requirements are organized and moving forward. This role reports to the Head of Growth and works closely with Marketing and Customer Success stakeholders.
The ideal candidate has hands-on experience coordinating trade shows, conferences, and/or industry events, with a strong understanding of exhibitor logistics, booth operations, event checklists, and cross-functional communication. The role is remote, though openness to occasional event travel may be helpful depending on budget and team needs.

- Customer Advisory Board (CAB) — Oct 5-6; Fall in-person meeting, Denver (customer event, internal coordination)
- LCI Congress — Oct 12-16; Atlanta (exhibiting)
- DBIA Annual Conference — Nov 4-6; Cleveland (exhibiting)
- Customer Happy Hours — City-by-city events piggybacked on CS visits (Boulder, Minneapolis, Charlotte, Dallas, Salt Lake City); casual format, venue and vendor coordination
Responsibilities:
- Manage logistics, including building and maintaining detailed event project plans, timelines, checklists, and deadline trackers for each show.
- Coordinate exhibitor requirements including booth specifications, show services, shipping, materials, furnishings, electrical, internet, badge registration, and other vendor or venue requirements.
- Support booth logistics for varying event footprints, including 10×20 booths, 10×10 booths, tabletop setups, and related materials management.
- Track key deadlines across exhibitor portals, vendor forms, shipment windows, hotel blocks, staff registration, and other event requirements.
- Coordinate with internal stakeholders across Growth, Product Marketing, Sales, Customer Success, and other teams to confirm staffing, travel needs, materials, and responsibilities.
- Help organize internal event communications, including reminders for team travel, hotel bookings, badge registration, booth schedules, and on-site responsibilities.
- Partner with internal teams to confirm which collateral, booth materials, demo materials, giveaways, signage, or other event assets are needed for each show.
- Coordinate shipping and return logistics for booth properties, event materials, collateral, and related assets.
- Support logistics for Join’s Customer Advisory Board event in Denver, including identifying and securing a private dinner location and meeting room, coordinating timing, and ensuring the experience is well organized for a pre-defined group of attendees.
- Serve as a central project management point of contact for event execution, escalating open questions, risks, or budget considerations as needed.
- Document event logistics, learnings, vendor contacts, and repeatable processes to help Join build a more scalable event operations playbook.
- Post-event wrap-up: invoices, asset returns, lessons learned
Qualifications:
- 3+ years of experience coordinating trade shows, conferences, field events, or similar B2B event programs.
- Hands-on experience managing exhibitor logistics, show services, booth requirements, shipping, vendor forms, and event deadlines.
- Strong project management skills, with the ability to create clear timelines, checklists, trackers, and follow-up systems.
- Exceptional attention to detail and the ability to manage multiple events, deadlines, vendors, and internal stakeholders simultaneously.
- Strong understanding of trade show operations and the typical logistics required to execute booths of varying sizes and formats.
- Comfort working independently in a remote environment with minimal oversight and a high degree of accountability.
- Clear, proactive communication style and strong follow-through with internal teams and external vendors.
- Ability to anticipate logistical needs, identify risks early, and keep event execution moving forward without creating additional burden for internal stakeholders.
- Experience supporting B2B technology, construction, architecture, engineering, real estate, or other industry trade show environments is a plus.
- Openness to occasional travel is a plus, though the role is expected to be primarily remote.
